Set up your Clearslot account

Verify your email, name your workspace, and check the time zone before you publish a booking link.

Quick answer

Create your account, verify the email address you used to sign up, then open Settings to confirm your name and time zone. Clearslot uses that time zone when it displays availability and bookings.

Before you start

Use an email address you can access. Clearslot sends a verification message during signup and uses the address for account notices.

Your workspace can represent one person or a team. Team membership and booking capacity can be changed later.

Check the account details

  1. Sign in and open Settings.
  2. Under Account, enter the name shown to colleagues and customers.
  3. Choose the time zone used for your schedule.
  4. Save the account settings.

Connect Google Calendar

Use Google Calendar as a busy-time source and write confirmed bookings back to it.

Open Settings, go to Integrations, and select Connect Google. After Google approves the connection, choose whether Clearslot reads busy times, writes booking events, or does both.

Connect the account

  1. Open Settings and find Integrations.
  2. Select Connect Google.
  3. Choose the Google account and approve the requested access.
  4. Return to Clearslot and confirm that Google Calendar is marked as connected.

Choose the sync behavior

Use as busy source blocks Clearslot slots that overlap busy events in Google Calendar. Write booking events adds confirmed Clearslot bookings to Google Calendar and keeps supported changes in sync.

External changes are pulled when you open Calendar and when you run a manual sync. A connected calendar does not replace your Clearslot weekly hours or scheduling rules.

Getting started

Create your first booking link

Create a meeting page, choose when it can be booked, and copy its public URL.

Open Booking Links, select New booking link, and choose Meeting. Add the title, duration, availability schedule, meeting method, and any booking rules. Save the link, then copy its public URL.

Create the page

  1. Open Booking Links from the dashboard.
  2. Select New booking link, then Meeting.
  3. Enter a clear title and duration.
  4. Choose the availability schedule that controls its open times.
  5. Choose at least one meeting method and add any location details.
  6. Save the booking link.

Share it

The Booking Links list has a Copy link action for each page. Anyone with that URL can open the public booking page unless you changed its visibility to private.

Open the link yourself before sending it. Check the title, available times, meeting method, payment choice, and confirmation message.

Define the hours that repeat each week and choose the schedule used by each booking link.

Open Availability, choose Weekly Hours, and add the time blocks when you normally accept bookings. Changes save automatically. A booking link can use your default schedule or another schedule you create.

Edit a schedule

  1. Open Availability.
  2. Choose the schedule you want to edit.
  3. Under Weekly Hours, turn working days on or off and set one or more time blocks for each open day.
  4. Wait for the autosaved confirmation before leaving the page.

Use more than one schedule

Create another schedule when different booking links need different hours. For example, consultations can use one schedule while classes use another.

A default schedule applies to links that do not name a different one. If you delete a schedule, links using it fall back to the default schedule.

Add date overrides and public holidays

Close a date, add special hours, or decide which public holidays block bookings.

Use Date Overrides for one-off changes to a schedule. Use Holidays for country-based public holidays. You can keep a holiday blocked or make yourself available on that date.

  1. Open Availability and select Date Overrides.
  2. Select Add Override.
  3. Choose one or more dates.
  4. Mark them unavailable or enter custom hours.
  5. Choose whether the change applies to one schedule or all schedules.

Review public holidays

Clearslot uses the country in your settings to list public holidays. Holidays block availability unless you turn an individual holiday off.

Team administrators can also manage organization holiday settings and custom company dates.

Available rules

  • Buffer before keeps time free before a booking.
  • Buffer after keeps time free after a booking.
  • Minimum notice stops last-minute bookings.
  • Booking window limits how far into the future a person can book.
  • Daily and weekly limits cap the number of bookings in those periods.

How the rules combine

A slot appears only when it fits the weekly hours, date overrides, holiday settings, scheduling rules, connected-calendar conflicts, host availability, and any required resource availability.

Changes apply to new availability calculations. Existing bookings stay on the calendar unless you manage them separately.

Open Calendar to view bookings by month, week, or day. Use the layers to show available slots, external-calendar blocks, team members, or resources, then select a booking to open its details.

Change what you see

The Calendar workspace can show your bookings together with calculated availability and external calendar events. Team workspaces can also switch the viewed person, and resource-based businesses can filter by resource.

Calendar layers help explain why a period is open or blocked. They do not change the underlying schedule. Use Availability to edit the rules.

Open a booking

Select a booking to review the guest, time, host, location, answers, payment state, and available management actions. Video bookings show a join action when a meeting URL exists.

Open a booking from Bookings or Calendar. The detail page shows the actions allowed for that booking's status, time, payment method, and your workspace role.

Available actions

A booking that requires confirmation can be approved or declined. Confirmed bookings can be cancelled or moved through the reschedule flow. Completed appointments can be marked complete or no-show where those controls are available.

For an in-person payment, a manager can mark the balance paid or unpaid. Online payment and refund status comes from Stripe.

What happens after a change

Clearslot records the change and sends the relevant transactional email. When calendar writing is enabled, supported changes are also applied to the provider event. Paid cancellation behavior follows the booking and refund rules.

The confirmation email gives the guest a private management link. The available actions depend on the booking link's cancellation and rescheduling policy and the notice period that remains.

Guest access

The management page contains booking and contact details, so its URL should be treated as private. A guest does not need a Clearslot account to use it.

If the policy permits it, the guest can cancel or choose a new time. A booking awaiting host confirmation shows that status until the host responds.

Contacts are created from booking activity. Open a contact to see booking history and add private notes. Use Export CSV to download the contacts list. Analytics has a separate CSV export on plans that include Analytics.

Contact records

The Contacts page lists the name, email, phone number when collected, booking count, and latest booking. Search narrows the list by contact details.

Notes on a contact are for your workspace. They are not shown on the public booking page or sent to the guest.

Exports

Export CSV downloads the current contact data for use outside Clearslot. Treat exported files as customer data and store them accordingly.

Open Organization, select Members, enter the person's email address, and choose a role. Owners and admins can manage the organization; member access is narrower.

Send an invitation

  1. Open Organization and select Members.
  2. Enter the person's email address.
  3. Choose Admin or Member.
  4. Send the invitation.
  5. Resend or revoke it from Pending Invitations if needed.

Roles

The owner controls the workspace and can transfer ownership. Admins can manage organization settings and members. Members use the scheduling features allowed by the workspace permissions.

Do not remove or demote the last administrator until another member can take over that responsibility.

Groups collect team members for administration. Managed events are templates that can be assigned to members with selected fields locked. Organization permissions decide who can invite people or create shared event types.

Groups

Create a group for a department, region, or other operating unit, then add members and choose any group administrators. Groups help scope administration; they do not create booking availability by themselves.

Managed events

A managed event template gives assigned members the same booking-link setup. Locked fields cannot be changed by those members. Use this when a team needs consistent titles, durations, methods, or policies.

Open Spaces & resources, create useful resource types, then add the individual resources. Services can require a type so Clearslot assigns any available item of that type. Classes and asset links can also use resources.

Create the inventory

  1. Open Spaces & resources.
  2. Create types such as Treatment room or Tennis court.
  3. Add each real resource and assign its type.
  4. Set the resource active and add a description if staff need it.
  5. Choose always available or add custom weekly hours and exceptions.

Booking behavior

When a service requires a resource type, the slot is available only if at least one active resource of that type is free. Lower sort-order numbers are preferred when several suitable resources are free.

Resource scheduling rules can add their own buffers, notice, limits, and booking window.

Each routing rule tests one or more answers. A matching rule can send the visitor to a Clearslot booking link, an external URL, or a custom message. The default destination handles submissions that match no rule.

Add a rule

  1. Choose a field and operator for the first condition.
  2. Enter or select the value to match.
  3. Add more conditions if needed and choose whether all or any must match.
  4. Choose the booking link, external URL, or custom message used for that result.
  5. Set a default destination for every unmatched response.

Test the paths

Open the public form and submit one answer set for every rule plus one that reaches the fallback. A routing form qualifies and redirects visitors; it does not create a booking until the visitor completes the destination booking page.

  3. Provide the business and payout information Stripe requests.
  4. Return to Clearslot and confirm the account is active.

What the connection does

An active connection lets eligible booking links collect online payment. Stripe handles the payment and payout account. Clearslot records the booking's payment state and requests supported refunds when the booking rules call for one.

Stripe processing fees are separate from Clearslot pricing. Clearslot does not add a booking commission.

Open Settings and go to Plan & billing. The page shows whether the workspace is on the free plan or paid capacity and provides the controls available for changing capacity or opening the billing portal.

Free and paid capacity

The free plan includes one active booking link. Paid capacity is based on bookable people and assets in the workspace. The public pricing calculator can estimate the monthly total before you change the plan.

Billing portal

When the workspace has a Stripe billing customer, the billing controls can open the hosted portal for supported payment-method, invoice, and subscription actions. Clearslot shows a warning in Settings when a subscription payment needs attention.

  3. Under How you'll meet, select Zoom.
  4. Save the link and make a test booking.

Disconnecting

Disconnecting Zoom stops Clearslot from creating new Zoom meetings. Review booking links that still offer Zoom and choose another meeting method before sharing them again.

Keep the public page recognizable

Use the business name and visual settings customers already know. Preview more than one booking link because titles, services, classes, and location details can change the amount of content around the brand elements.

Brand controls depend on the current plan. The Settings page marks controls that require paid branding.
